  • Professional & Business Information: Company names, practice locations, professional individual names, National Provider Identifier (NPI) numbers, phone numbers, email addresses, and specialty information.

  • Identity Verification & Credential Data: When you complete our mandatory identity verification process, our designated third-party verification vendor collects government-issued identification documents (e.g., driver's license, passport, or state ID cards) and professional licensing documentation. Depending on the verification vendor utilized, this workflow may also involve the collection of facial recognition, facial geometry, or biometric data to confirm that the individual matches the identification document presented. Direct-to-Vendor Processing: Verinex LLC does not directly store, host, or process your raw identification documents or biometric data on Company servers. This information is collected and processed exclusively within the encrypted environments of our third-party verification provider; Verinex only receives cryptographic verification metadata (e.g., a "pass/fail" token or verification timestamp) to confirm authorization.

  • Account & Payment Data: Billing addresses, transaction history, and payment details processed securely through encrypted third-party payment processors. We do not store raw credit card numbers on our servers.

  • Technical & Usage Data: IP addresses, browser types, device information, and interaction data collected automatically when you navigate our website or operational portals.

2. How We Use Your Information

We use the collected information for the following specific purposes:

  • Service Execution: To audit, validate, and submit profile updates to online professional directories on your behalf.

  • Business Communication: To send billing invoices, service reports, verification alerts, and operational notices.

  • Compliance & Data Governance: To maintain verification logs and comply with regulatory standards.

3. Data Security & Storage Protocols

Verinex enforces strict data security policies:

  • Cloud-Only Governance: All proprietary and client data is accessed and processed solely within Company-designated secure cloud environments.

  • No Local Storage: Downloading, exporting, or storing Company or client data on personal hard drives, local devices, or unapproved storage environments by our personnel or independent contractors is strictly prohibited.

  • HIPAA & BAA Compliance: When our scope of work involves access to Protected Health Information (PHI) from healthcare clients, Verinex operates in strict adherence to Business Associate Agreements (BAAs) and HIPAA data governance standards.

4. Information Sharing & Disclosure

We do not sell, rent, or trade your personal or practice information. We only share data under the following limited circumstances:

  • Directory Publishing: Publicly professional practice data is submitted to third-party online directories to correct and validate your digital presence.

  • Identity Verification Partners: We share user onboarding information with specialized, vetted third-party identity verification processors for the sole purpose of validating the identity, professional credentials, and authorization of the requesting user. These processors are strictly prohibited from using verification data for marketing or any purpose other than executing the identity validation workflow.

  • Service Contractors: We may utilize vetted, independent 1099 contractors for sales generation or operational fulfillment. All contractors are legally bound by strict non-disclosure obligations, confidentiality clauses, and our Master Services Agreement.

  • Legal Requirements: We may disclose information if required to do so by law, subpoena, or to defend our legal rights in accordance with Arizona state law.

5. Data Retention & Revocation

We retain client data only as long as necessary to fulfill ongoing monitoring retainers or as required by law. Upon termination of a service agreement, Verinex requires its contractors and personnel to immediately revoke system access and permanently destroy any residual client data not required for statutory compliance.

  • Biometric & ID Retention Limit: Any biometric identifiers, facial geometry scans, or sensitive government ID data processed during identity onboarding are retained by our third-party verification provider only for the duration necessary to complete the verification check or to comply with statutory retention and fraud-prevention mandates. Once the verification objective is fulfilled or the statutory retention limit expires, the third-party provider securely purges and permanently destroys all biometric and identification data in accordance with applicable state and federal data privacy laws.
